We are looking for a detail-oriented Business Support Coordinator to provide essential operational and administrative support across the business. In this fully remote role, you will help keep our systems organized, support client deliverables, and maintain the data and processes that drive performance and accountability. This position is ideal for someone who enjoys being a versatile contributor and using technology to improve workflows.


About the Role

The Business Support Coordinator acts as a central hub for day-to-day operations. You will work closely with internal teams to manage data, support billing, handle client requests, and help maintain internal reporting tools. Success in this role requires strong communication, technical curiosity, and the ability to manage your time and priorities independently in a remote environment.


Responsibilities

  • Provide day-to-day administrative and operational support for the team.
  • Respond to routine client requests via email, CRM, and other systems.
  • Maintain clean, accurate, and up-to-date data in HubSpot.
  • Manage client billing through Stripe, including one-time and recurring payments.
  • Create, maintain, and improve internal dashboards for team reporting and visibility.
  • Assist with creating, updating, and deactivating user accounts as needed.
  • Use AI tools to streamline tasks, automate simple workflows, and enhance productivity.
  • Document processes, updates, and completed work clearly and consistently.
  • Collaborate with team members to reduce redundant work and improve efficiency.

Requirements

  • Fluent English, with strong written and verbal communication skills.
  • Proven ability to self-manage, prioritize tasks, and meet deadlines with limited supervision.
  • Comfort working in a dynamic environment and solving problems with minimal guidance.
  • Experience using tools such as CRMs, dashboards, or workflow automation platforms.
  • Working knowledge of AI tools and how to apply them in everyday tasks.
  • Familiarity with basic operational activities such as billing, client setup, and process documentation.
  • Comfort using remote collaboration tools and working in a fully remote setting.

Nice to Have

  • Hands-on experience with HubSpot for contact, deal, or activity management.
  • Experience processing payments or invoices in Stripe.
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail) and Zoom.
  • Experience with Microsoft Excel, including basic formulas and data organization.
  • Exposure to Zapier or similar tools for workflow automation.
  • Basic to intermediate understanding of SQL for data querying or reporting.
  • Familiarity with QuickBooks or similar accounting/billing software.
